Every product batch at Aarnav is traceable from raw material sourcing through to final packaging. We maintain production records, supplier declarations, and in-process quality checks at every stage. When you receive a shipment, you can trace exactly where the botanical was grown, how it was extracted, and which quality parameters were verified. 02 GC-MS Reports & COA Available on Every Order
We provide a Certificate of Analysis (COA) with every shipment as standard. Gas Chromatography–Mass Spectrometry (GC-MS) reports — confirming the precise chemical composition of each oil batch — are available on request. MSDS/SDS documentation is also available for all products. International buyers, particularly in pharma, food, and EU/US cosmetics, routinely require this documentation. Quality Assurance Policy
Quality at Aarnav Global Exports is a system, not an intention. Every product batch passes through a defined quality control process before it is approved for packaging or dispatch. Our quality framework covers raw material qualification, in-process checks, and finished product testing against established specifications.
- All raw materials are sourced from qualified suppliers with documented origin declarations
- Every finished batch is tested for key parameters: specific gravity, refractive index, optical rotation, and solubility — as relevant to each product type
- GC-MS analysis available on request for any product — confirming chemical composition and ruling out adulteration
- Certificate of Analysis (COA) issued as standard with every shipment
- Retained samples from every production batch maintained for a minimum of 2 years for traceability
- Customers may request third-party testing at a certified lab — we facilitate and cooperate fully
Sampling & Order Policy
We recognise that sourcing a new supplier is a decision that deserves proper evaluation. Our sampling policy is designed to give serious buyers the confidence to proceed — without friction or large upfront commitments.
- Sample quantities available for most products: 10ml, 30ml, 100ml — subject to product availability
- Sample cost covers product only — shipping charged at cost to buyer’s preferred courier account or our carrier
- Minimum order quantity for commercial orders varies by product: from 1kg for specialty items to 25kg standard bulk
- Bulk drum, barrel, and full container orders accommodated with lead time confirmed at quotation stage
- Custom pack sizes and private label packaging available for orders meeting agreed minimum quantities
- Repeat buyers receive priority scheduling and preferential lead times during peak season
Payment & Pricing Policy
We operate with complete transparency on pricing and payment. No hidden charges. No last-minute price revisions. All quotations are binding for the agreed validity period, and we confirm pricing in writing before any order is raised.
- Quotations valid for 7 days from date of issue — subject to commodity price movement for volatile botanicals
- Accepted payment terms: Advance T/T (Telegraphic Transfer) for new buyers; Letter of Credit (LC) and credit terms available for established account holders
- Accepted currencies: USD, EUR, GBP, AED — invoiced in buyer’s preferred currency
- Sample payment: PayPal, Wire Transfer, or advance bank transfer
- Prices quoted as FOB (Delhi/Mumbai) or CIF (buyer’s port) — Incoterms specified on all documentation
- Volume discounts available for regular bulk buyers — contact our sales team to discuss annual supply agreements
Shipping & Export Policy
Our export operations are handled by our in-house logistics team in coordination with accredited freight forwarders and customs brokers. We have processed hundreds of international shipments and are fully equipped to manage the complexity of cross-border essential oil trade.
- Air freight available from Delhi NCR for urgent orders — typical transit 3–7 days to most destinations
- Sea freight from Nhava Sheva (JNPT), Mumbai — typical transit 12–25 days depending on destination port
- Full export documentation provided: Commercial Invoice, Packing List, Certificate of Origin, Phytosanitary Certificate (where required), COA, MSDS
- HS Code 3301 and all relevant sub-codes correctly declared on all export documentation
- Dangerous goods compliance for regulated essential oils handled as standard
- Shipment tracking updates provided proactively — buyers receive B/L or AWB copy within 24 hours of dispatch
Returns & Grievance Policy
We stand behind every product we ship. In the rare event that a product does not meet the agreed specification or is damaged in transit, we have a clear, fair, and prompt resolution process. Our goal is always a long-term partnership — not a single transaction.
- Quality disputes must be raised within 14 days of receipt with photographic evidence and a third-party lab report
- We commit to acknowledging all quality grievances within 48 hours and providing a resolution path within 7 working days
- Resolutions may include: replacement shipment, credit note, or refund — at our discretion based on investigation findings
- Transit damage claims: buyer must note damage on carrier’s delivery receipt and notify us within 7 days with supporting photos
- Products that have been opened, blended, or processed are not eligible for return
- We do not accept returns for change-of-mind or market-condition reasons — all sales are final once shipped
Sustainability & Ethical Sourcing Policy
We recognise that the natural products industry has a responsibility to the ecosystems and farming communities it depends upon. Our sourcing and production practices are guided by principles of environmental stewardship, farmer welfare, and responsible use of botanical resources.
